Office 365 FAQ
Kindergarten IT Program are upgrading our paid email hosting for kindergartens that host their domain and mailboxes with us. From March 2026, those services will be moving to Microsoft Office 365, a secure, modern and widely used cloud-based email service.
This is in anticipation of migrating all our mail services to Office 365 later in 2026.
- Larger mailboxes – starting at 50 GB of storage each
- Reliable and secure email backed by Microsoft
- Access to Microsoft Office
- Option to upgrade up to 3 accounts to Office 365 A3 licences with ability to download desktop versions of Microsoft Office for free.
The majority of email accounts will receive Office 365 A1 licences, which are browser based and great for everyday use:
- Provide access to Microsoft Outlook and Office via online web apps
50 GB of mailbox space.
You can nominate Office 365 A3 licences for up to 3 of your mailbox accounts:
- A3 licences allow you to download and install the desktop versions of Outlook, Word, Excel, and PowerPoint
- 100 GB of mailbox space.
If you require more than 3 Office 365 A3 licences and want to install desktop based versions of Outlook and Office, you can purchase additional A3 licences for $85 per account per year through us.
Any additional licences requested are for a period of 12 months.
Potentially yes, if the copier or service is configured to send from a mailbox that is upgraded, the configuration will need to be updated. Please contact the help desk if you would like assistance in making the changes to your photocopier.
Yes, the mail and data will continue to be stored locally in Australia.
All your existing emails stored on the Kindergarten IT Program server will be automatically migrated to Microsoft 365.
If you’re not sure what’s stored on the server, it will be anything in your email account if you use IMAP, or whatever appears in Webmail.
(POP accounts will not get synced across automatically)
This will not automatically be migrated across, however we will be able to assist getting your new emails and archived emails all in one spot.
The migration will not copy over contacts or calendar events. You need to export/import them manually via Outlook or Webmail.
You won’t be able to receive any new emails until you make the change. If you or any other staff at your service decide to not use your emails anymore, if they’re not accessed after 6 months, they will be deleted.
Yes, once your emails are on Microsoft 365, you can setup MFA for additional security on your account as follows:
- Go To: https://aka.ms/mfasetup
- Sign in with their Microsoft 365 account
- Click “Add sign-in method”
- Select “Microsoft Authenticator”
- Follow the prompts to enable MFA
Once the initial migration is complete, in the coming months we will be setting MFA available and required for every user.
Yes. SharePoint Online and Microsoft Teams are included, and can be created by our support team for your center. OneDrive comes automatically enabled and allows for 100GB storage for A1 licenses and 1TB for A3 licenses.
You don’t have to if you don’t want to. If we don’t receive your completed forms by March 30th, it just means your accounts will be setup with a basic license, and your display name when you send an email will be your email address rather than your nominated name.
The display name is so your recipients can easily identify you.
It can be your name, your services name, your email address, your group name – anything you want.
You can nominate what you want your display name to be via our website here – https://kindergarten.vic.gov.au/email/display-name-update-request/
This will all be automatically recreated in the new system, and will continue to work as they always have.
You do not need to make any changes on your end for them to work.
